Using the Email Client Email Templates

Email templates serve as a valuable tool in various professional and personal contexts, streamlining communication, ensuring consistency, and saving time. Below are some situations where having email templates on hand proves to be particularly beneficial:

  1. Customer Service Inquiries
  2. Sales Outreach
  3. Job Applications
  4. Internal Communications
  5. Event Invitations
  6. Feedback Requests
  7. Invoice and Payment Reminders
  8. Newsletter Updates
  9. Onboarding New Employees or Clients
  10. Scheduling Meetings

In each of these situations, the key to effectively using email templates is customization. While templates provide a solid foundation, personalizing each email to the recipient’s specific context, needs, or preferences can significantly enhance the effectiveness of your communication.



Creating and using email templates through our Client Email feature can significantly enhance efficiency, especially for those one-on-one emails that are sent out repeatedly.


You will need the Email Tracking Extension to use this feature.

Setting up your email templates.

Step 1:

From  your dashboard go to Client Email on your menu, and select Templates.








Step 2:

Select "+Add New Message Template" at the top. 







Step 3:

Fill out the necessary template. It will look like an email with a Subject and Body for the email. This will be seen by whomever receives the email, and is the template you created. 
The Template Name and Folder are internal only. This is how you will find your template. Once you've filled out the template to fit your needs, you can select "Shared" to share with your team members, or keep that unchecked to keep it for yourself. Then select "Create Email Template."







Step 4:

You will see your template populate in the Shared or Default folders. Default is not accessible to other team members, Shared is accessible with your team. 











Step 5:

Now your email templates will populate within your Outlook or Gmail account. Select the Visual Visitor logo at the bottom of your compose email screen.











Step 6:

Your list of templates will appear. Select which one you need to send to your recipient. 







Step 7:

Your template will populate and be ready for sending!
