Before your AI Sales Rep begins sending emails to
identified website visitors, it goes through a mandatory 30-day mailbox warm-up phase. This is a
critical step to protect email deliverability and ensure your AI rep's messages
land in inboxes rather than spam folders.

There is no work for you to do during the warm up process. It is all handled by Visual Visitor.
What is mailbox warm-up?
Warm-up is the process of gradually increasing sending and receiving volume from a new email address (on a new lookalike domain) to build a positive
sending reputation with major email providers (Gmail, Outlook, Yahoo, etc.). A
domain with no sending history that suddenly sends hundreds of emails will be
flagged as spam.
What happens during the 30-day
warm-up
· Days 1-10: Very low
send volume (a few emails per day) to establish initial sending history.
· Days 11-20: Gradually
increasing volume with positive engagement signals being built.
· Days 21-30: Volume
approaches the operational sending rate. The AI rep is not yet active on your
live website visitors during this phase.
· Day 30+: Full
activation. The AI Sales Rep begins sending personalized outreach emails to
identified visitors who match your ICP.
What to do during warm-up
· Finalize your AI rep's message
lifecycle (email templates, call-to-action links, booking calendar URL).
· Upload your Known Customers list
to prevent existing customers from receiving cold outreach once the rep goes
live.
· Confirm your lookalike domain and
verify the domain confirmation email has been completed.
